THE TEAM

You’ll be a part of the People & Culture team, who are responsible for creating and elevating Amplify’s culture; by enhancing our environment (space, sustainability, energy) in our 13,500 sq ft office space and creating a meaningful people experience (development, support, the work). Through creating a positive, energised environment and making every interaction with Amplify meaningful and positive, the People & Culture team ensures everyone feels inspired, empowered, and connected.

THE ROLE

Being the heart of Amplify and its extended family (Seed & Wonder) you will ensure the smooth running and consistent delivery of the office experience, to employees, partner agencies and visitors. You will be setting the tone and energy for how you want people who walk into our environment to feel, ensuring your team embeds these behaviours and attitudes. You will need to be proactive in delivering against the role and seeking / developing new operational processes when and where relevant making things happen seamlessly.

People

  • Managing the Office team, including recruitment and development, holiday requests and logging time off
  • Ensure the reception is staffed between 9am and 6pm by a core team of 2, empowering them to ensure there is cover when one is off.
  • Providing support to and working alongside the People & Culture team, managing new starter office inductions, equipment and software
  • Meet with cleaning account manager onsite once monthly to discuss any outstanding issues/improvements

Guest Experience

  • Oversee the front of house team to ensure, environment, guest management, incoming calls etc are handled effectively
  • Authorise the ordering of refreshments for specific meetings (client, internal).

The Environment

  • Lead on communications with all building employees on any office updates, changes or works happening within the demise
  • Constantly be on the lookout for better processes to the overall running of the office floors and common spaces

Building Management

  • Liaise with landlords of 27 & 35 Paul Street on building work and maintenance requirements
  • Work with the Facilities Management company to ensure all aspects of the building are being maintained and regular scheduled mechanical & H&S checks are being upheld
  • Oversee the building utility contracts, ensuring we are negotiating the best rates, and maximising the services we pay for
  • Be vigilant in checking for, oversee and schedule any building work/repairs that need resolving to rectify issues in a smooth, timely and cost-effective manner
  • Co-ordinate our health and safety and fire officer duties, ensuring Amplify / 27 & 35 Paul St is compliant.
  • Be the point of contact for the group (Seed & Wonder) and liaise with their Office Managers on any building related issues

Purchasing

  • Work closely with the CFO to manage the office consumables budget
  • Proof reading all supplier invoices and raising PO’s accordingly
  • Managing all company subscriptions

IT

  • Manage the provision of company mobile phones to relevant employees and manage the relationship with our telecom’s provider
  • Asset management – create and keep a log of all IT asset stock (laptops, monitors, phones) ordering new equipment / repairs when necessary

Travel

  • Manage travel partners relations acting as the go between for staff and company, checking rates and troubleshooting any issues.
  • Update travel company with any new starters/leavers keeping all account holders up to date
  • Work with travel company to secure best deals at all times and expand where necessary
  • Update staff with any new changes to features/updates accordingly

Other

  • Assist in set up for monthly socials, company meetings and any other culture related activities

WHO WE ARE LOOKING FOR

  • 3+ years of demonstrated experience in a role / agency similar
  • A self starter with a high level attention to detail
  • Someone who takes an immense amount of pride in the appearance of their environment
  • A practical thinker and people person who is to build strong relationships with lots of different people with different needs
  • Ability to manage and prioritise multiple projects at once, and remain calm under pressure
  • Excellent IT and tech skills
  • Great communication skills, verbal and written
  • Commercially savvy, ability to understand and manage budgets
  • Has a positive, can-do attitude, and always looking to improve processes
